Maintenance Booking Pilot Closed Following Operational Review

A consolidated booking interface failed to justify its integration costs; existing service channels remain in place.

Pilot scope

From April through June 2026, two residential sites offered an optional combined booking interface for routine maintenance. The intention was to reduce repeated calls between the resident desk and specialist contractors. Urgent repairs continued through the existing channel.

Evidence and decision

The pilot showed inconsistent reductions in repeat calls. Changes in contractor staffing and incomplete callback records prevented a reliable estimate of the interface’s independent effect. Residents valued confirmation messages but continued to telephone for jobs involving more than one trade. Operations found that maintaining contractor availability in two systems required additional manual work.

Disposition

Finance declined the proposed full integration because the demonstrated benefit was insufficient to support the supplier connection and maintenance costs. Resident Services closed the pilot, retained telephone booking and adopted clearer confirmation messages within the existing process. Research recommended better callback records before any new evaluation. No service-level commitment changes, resident charges or contractor acquisitions follow from this decision.
